Automate depositary workflows end-to-end.

Configurable workflows for approvals, escalations, four-eyes validations, and exception handling. Designed around how depositary teams actually operate, not how software vendors think they should.

How it works

From trigger to resolution, fully structured.

  1. 01

    Design

Drag-and-drop designer with 12 task widgets. Define sequence, roles, four-eyes reviews, and sub-workflows. One template, many funds.

    12 task widgets
  2. 02

    Trigger

Workflows start manually, on schedule, or automatically on platform events. No manual hand-offs required.

    Manual · scheduled · event-based
  3. 03

    Assign

Each task routes to the right person by role and group. Sequential or parallel, with maker-checker enforced.

    Role-based routing
  4. 04

    Execute

Teams work tasks in context: classifications, document collection, validations, limit checks, decisions.

    Every action captured
  5. 05

    Resolve

Workflows close when approvals are signed off. Irregularities can be raised at any step. Sub-workflows reconverge.

Automation

Workflows that start themselves.

Workflows in Depowise can be triggered manually or started automatically based on events across the platform. Static data changes, fund onboarding, asset register updates, monitoring rule changes, and scheduled recurring controls all trigger the right workflow without manual intervention.

  • Automated triggers on fund updates, share class changes, cash account modifications, irregularity creation, and investment transactions.
  • Control Scheduler for single or recurring workflows with fund-level filtering. Past and future runs available for oversight.
  • On-start adaptability: modify task assignments, deadlines, or remove steps from a template before launching, without changing the underlying template.

Escalation

Exceptions routed to the right person, every time.

Workflow tasks are assigned based on user roles and groups, ensuring the right people handle the right items. Four-eyes review, maker-checker controls, and multi-step approval chains are configurable per workflow, not hard-coded.

  • Role-based task assignment with user group controls. Tasks can be reassigned to another user at any point.
  • Four-eyes and maker-checker logic: configurable per task, with the option to enforce that the approver has not interacted with prior steps.
  • Sub-workflows allow a main workflow to branch into team-specific or process-specific tracks, then reconverge.

Traceability

Every action logged and every decision traceable.

Every workflow task captures who did what, when, and why. Comments, documents, status changes, reassignments, approvals, and rejections are recorded and available for audit. Completed workflows can be reopened for review when needed.

  • Activity log per workflow capturing all user actions, status updates, comments, and attached documents.
  • Approval timestamps, user identity, and the Depowise build version recorded on every audit log entry.
  • Field-level change tracking: old value, new value, modification timestamp, and the user who made the change.
  • Completed tasks can be reopened for additional documentation. Fully closed workflows support controlled reopening for audit.

Centralised

A central team owns every workflow across all funds. Single approval chain, uniform controls, one operating standard.

Federated

Workflows split by team or jurisdiction. Each team owns its own approval chain. The Depowise platform keeps controls consistent.

Hybrid

A central oversight team plus federated execution teams. Cross-team approvals and sub-workflows reconverge under one audit trail.

Proven

Proof, in numbers.

Run by depositary teams across Europe’s largest fund markets, on live funds, every working day.
